Below you will find our key policies and legal information. We encourage all clients and site users to read these for full transparency. (For the full legal text of each policy, please refer to the dedicated policy documents on our website. Here we provide a summary of important points.)
By using our website or services, you agree to our Terms of Use. These terms include that all content on our site is for informational purposes only and not individualized medical advice. You must be at least 18 years old to use our site. You agree not to misuse the site (no malicious attempts to hack, etc.). Under no circumstances shall Vital Link Health Solutions or its representatives be liable for any damages arising out of the use of our website or programs beyond the extent permitted by law. We reserve the right to update these terms and your continued use of the site constitutes acceptance of any changes. (If you have questions about the terms, please contact us.)
Your privacy is extremely important to us. Any personal information (such as your name, email, phone number, or health details) that you submit through our site or during the course of care is protected and kept confidential. We do not sell or share your personal data with third parties for marketing. We only use your information to deliver services to you, improve our offerings, or as required by law. Our website may use standard analytics or cookies to improve user experience, but you can opt out. If you fill out forms on our site (like the contact form or intake forms), that data is transmitted securely. We comply with applicable privacy laws and will never disclose your health information without your consent. For patients, additional protections under HIPAA (see below) also apply. Please refer to our full Privacy Policy document for details on what data we collect and how it’s used, stored, and protected.
As a functional medicine practice, we follow the Health Insurance Portability and Accountability Act (HIPAA) regulations to safeguard your Protected Health Information (PHI). This means any information about your health, medical records, lab results, etc., is handled with strict confidentiality. We implement administrative, technical, and physical safeguards (like secure electronic health records, encryption, etc.) to protect your PHI. We will not disclose your PHI to anyone unless you authorize it in writing, except for certain allowed purposes such as treatment coordination, healthcare operations, or if required by law (for example, a court order or in cases of public health reporting). You have rights under HIPAA, including the right to access your records, request corrections, and receive an accounting of disclosures. Our full HIPAA Notice (available upon request or on our site) outlines these rights and how to exercise them. We take privacy seriously – if you ever suspect a breach of your PHI, notify us immediately and we will act promptly.
We value your time and ask that you value ours. For appointment cancellations or rescheduling, we require at least 24 hours’ notice. If you cancel within 24 hours of your appointment or no-show, we reserve the right to charge a late cancellation fee (typically $100 for a missed consult) or deduct that session from your program allotment. We understand emergencies happen – we will handle those with compassion on a case-by-case basis. For program participants, if you need to pause your program due to an emergency (e.g. a family crisis), please let us know and we will do our best to accommodate a pause or extension. If you decide to terminate the program early (see refund policy in Pricing section), certain conditions apply regarding refunds. In short: communicate with us, and we’ll work with you. We just ask for notice so we can offer your slot to someone else who may be waiting.
All information provided by Vital Link Health Solutions, whether on the website, in educational materials, or during consultations, is intended for general knowledge and educational purposes. Engaging with our content or program does not establish a doctor-patient relationship in itself until you have formally become a client. We are not an emergency medical service – if you have a medical emergency or an urgent situation (chest pain, severe acute illness, etc.), call 911 or go to an ER, not us. Our advice and programs are not meant to replace your primary care physician. In fact, we require that you maintain a primary care provider for acute or emergent issues . While we aim for excellent outcomes, we cannot guarantee specific results and individual results will vary. You are ultimately responsible for following or not following any recommendations – and you should use your own judgment and/or consult with your primary healthcare provider before implementing major changes, especially if you have complex medical conditions. By becoming our client, you acknowledge these statements. (In simpler terms: we’ll do our best to help you, but we need you to understand the scope and to take appropriate actions for your safety too.)
Vital Link Health Solutions may earn a small commission or profit from certain products or services we recommend, at no additional cost to you. For example, our supplement dispensary through Designs for Health provides us a practitioner discount; when you purchase with our 15% off code, a portion of the sale may benefit our practice. We want to be upfront that we have this financial relationship. However, please know that we only recommend products that we genuinely believe in and often use ourselves. We do not let commissions influence what we suggest – our primary motive is your health results. Any affiliate income simply helps us continue to provide high-quality support and sometimes allows us to offer you discounts (as we do with supplements). We encourage you to ask if you have any questions about why a specific product is recommended. We will gladly provide alternative sources or brands if you prefer. Transparency is key: if there is a potential conflict of interest (like us earning from something), we will disclose it to you, as we have here.
